Project Overview

Debit Credit Desk (DCD) is an AI-powered financial platform for individuals, accountants and businesses. Users can record income and expenses, manage ledgers, create budgets and view financial reports. They can also ask the AI assistant questions about spending, savings and cash flow.

Receipts and invoices can be uploaded to the platform. The system extracts details such as the amount, date and merchant name, then uses them to prepare the related financial entries.

DCD also reviews past records to identify spending patterns, unusual transactions and possible future expenses. This gives users a clearer view of their financial activity.

What We Built

We developed a complete financial management platform for personal and business use. The system includes separate dashboards for standard users, accountants, administrators and auditors, with access based on their roles. Our work covered the frontend, backend, database, APIs, financial logic, real-time updates, document handling, reporting, user access and admin controls.

Client Background

Rommy Cape works in the financial management field in the USA. He wanted a platform that could make financial records, budgets, documents and reports easier to manage. The main requirement was to reduce manual work and provide AI support for transaction review, spending analysis, financial questions and expense forecasts. The platform also needed separate access for users and authorised finance professionals.

Project Overview

Project Scope

The project covered the following areas:

  • Financial requirement analysis
  • User journeys and workflow planning
  • UI/UX design
  • Frontend, backend and REST API development
  • MySQL database setup
  • Login and role-based access
  • Income, expense, ledger and journal management
  • Budget and document management
  • OpenAI and AI Ledger Logic integration
  • Financial reports and real-time updates
  • Web3 integration
  • Notifications and reminders
  • Performance, security, testing and deployment

Target Audience

DCD is mainly designed for:

  • Individuals
  • Small and medium-sized businesses
  • Business owners and finance teams
  • Accountants
  • Auditors

Objectives

The main objectives were to:

  1. 01Make financial records easier to manage
  2. 02Reduce manual transaction work
  3. 03Manage income, expenses and ledgers accurately
  4. 04Link documents with the correct entries
  5. 05Support budgeting and financial reporting
  6. 06Use AI for spending guidance and transaction checks
  7. 07Provide secure role-based access
  8. 08Keep financial data updated in real time
  9. 09Support more users, records and integrations in the future

Business Challenge

While planning DCD, we found that users were handling financial information through separate files and tools.

  1. 01Transactions could be placed in the wrong category, while receipts and invoices were not always linked with the correct entry.
  2. 02Reports also took more time when records were incomplete or stored in different places. Users could track their spending but still found it difficult to see which expenses were affecting their budgets.
  3. 03The platform also needed separate access for regular users and authorised finance professionals.
  4. 04The main challenge was to bring financial records, documents, reports and AI support into one secure platform.

Our Solution

We built DCD to organise financial work in one secure platform.

  • Users can record income and expenses, upload receipts and invoices, and keep documents linked with the correct financial entries.
  • AI Ledger Logic helps place transactions in suitable categories and identifies possible errors or duplicate records.
  • The AI assistant helps users understand their spending, budgets and future expenses through simple financial questions.
  • Reports, budgets, documents and account records stay linked with the correct user or organisation.
  • Real-time updates show important changes across the platform. Role-based access controls what regular users and finance professionals can view or manage.

AI Financial Assistant

  • Financial questions in simple language
  • Spending and savings guidance
  • Answers based on available financial records

Development Process

We started by understanding how users manage transactions, ledgers, budgets, documents and reports. The team then reviewed user roles, approval steps, AI needs and security requirements. Based on this information, we planned the financial flow from transaction entry to reconciliation, reporting and final approval.

Technical Challenges and Solutions

01

Keeping financial entries and ledger balances accurate

Accounting rules, backend validation and balance checks were applied before records were updated.

02

Categorising transactions correctly

AI suggestions were combined with editable categories so users could review and correct entries.

03

Linking documents with the correct financial records

Receipts and invoices were connected with their related transactions and ledger entries.

04

Preventing duplicate or incorrect records

Transaction and document checks were added before new entries were saved.

05

Providing relevant AI responses

The AI assistant used available financial records to explain spending, transactions and account activity more clearly.

06

Managing access for different user roles

Role-based permissions controlled which pages, records and actions each user could access.

07

Protecting sensitive financial information

Secure login, encryption, validation and audit records were used to protect the data.

08

Keeping records updated across the platform

Socket.IO kept transactions, approvals, notifications and dashboard details updated in real time.

Financial Process Improvements

  1. 01

Financial records were managed through spreadsheets and separate tools.

Income, expenses, ledgers and documents are now managed in one platform.

  2. 02

    Transactions required manual categorisation.

AI suggests suitable categories for user review.

  3. 03

Receipts and invoices were not always linked with the correct records.

Documents stay connected with their related financial entries.

  4. 04

Ledger and journal work required regular manual effort.

AI Ledger Logic supports entry creation and basic financial checks.

  5. 05

Spending and budget progress were difficult to understand.

Dashboards and alerts provide a clearer financial view.

  6. 06

Reports took more time to prepare.

Reports can be generated directly from stored records.

  7. 07

Important updates were not visible immediately.

Real-time sync keeps records and dashboards updated.

  8. 08

    Audits required manual record collection.

Audit trails and controlled access make reviews easier.

Results

For Standard Users

  1. 01Users can handle their daily financial work with less confusion and review their records more easily.

For Auditors

  1. 01Auditors can check financial records and audit history through controlled read-only access without changing any data.

Business Impact

DCD reduces the time and effort needed to manage and review financial information. It makes reporting and financial checks easier while keeping records consistent across authorised users. The platform also gives the client a more organised way to manage growing users, organisations and financial activity.

Client Testimonial

Team TISA was professional and supportive during the DCD project. They took the time to understand how we wanted the platform to work and paid close attention during development. The system has made transactions, ledgers, documents and reports much easier to manage. Its AI tools also help users review information quickly without checking every entry one by one. We are thankful to the team and appreciate the work they have done.

Lessons Learned

During the development of DCD, we learned that:

  1. 01

Accounting rules and validation should be planned before development

  2. 02

AI suggestions should remain editable and support user decisions

  3. 03

Financial records should stay linked with their original documents

  4. 04

User roles and audit access should be defined from the beginning

  5. 05

Web3 features should remain separate from regular accounting workflows

  6. 06

Future features and integrations should be considered during early planning

Conclusion

DCD gives users a clearer and more organised way to manage financial work. Each user can access the information and tools related to their role. For accountants and businesses, it simplifies financial records, reporting and user access. The platform also allows the client to add new services and integrations as the business grows.
