Project Overview

RentACar is an online car rental and fleet management platform created to simplify vehicle booking and daily rental operations. Customers can search for available vehicles by location, rental dates, price and vehicle type. They can view vehicle details, upload documents, make payments and track their booking status. The Admin Dashboard helps the rental team manage vehicles, bookings, customers, locations, pricing and availability from one place. The platform supports both single-location and multi-branch rental businesses.

What We Built

We built an online car rental platform with separate sections for customer bookings, vehicle records, branch operations and admin access. The main modules include vehicle inventory, reservations, customer profiles, document verification, payment records, rental locations, pricing, promotions, notifications, reports and analytics. The system also manages vehicle status, booking stages, branch assignments and staff permissions.

Client Background

Peter Tam runs a car rental business in Hong Kong. As the business grew, managing vehicles, bookings, rental dates, payments and pickup details through separate records became difficult. The client wanted a simple digital system where customers could book cars online and the team could manage daily rental work more easily.

Project Overview

Project Scope

The project covered the following areas:

  • Business requirements and rental workflow planning
  • Customer journey planning
  • UI/UX design
  • Frontend, backend and API development
  • MySQL database setup
  • Customer accounts and access control
  • Vehicle, fleet and rental-location management
  • Vehicle search, filters and real-time availability
  • Booking and document management
  • Pricing, promotions and online payments
  • Booking confirmations and notifications
  • Admin Dashboard, reports and analytics
  • Performance, security, testing and deployment

Target Audience

The platform is mainly designed for:

  • Short-term and long-term rental customers
  • Car rental staff
  • Branch and fleet managers
  • Business owners and administrators

Objectives

The main objectives were to:

  1. 01Simplify vehicle search and booking
  2. 02Show availability for selected rental dates
  3. 03Help customers compare suitable vehicles
  4. 04Reduce manual booking work
  5. 05Manage vehicles, bookings and locations in one system
  6. 06Collect customer documents securely
  7. 07Support online payments
  8. 08Keep customers updated about their bookings
  9. 09Improve fleet availability control
  10. 10Provide booking and fleet reports
  11. 11Support future vehicles, branches and customers

Business Challenge

The client was facing difficulty in managing bookings, vehicles and customer records.

  1. 01A vehicle could be available on one date but already reserved for another period. Without an accurate availability system, the same car could be shown to more than one customer.
  2. 02Prices, vehicle details and pickup information were also handled through calls, messages and separate records. This made the rental process slower and harder to track.
  3. 03Customer documents, payments and booking updates also needed to remain connected with the correct reservation.
  4. 04The main challenge was to bring all rental activities into one reliable system.

Our Solution

We built RentACar to make daily rental work easier to manage.

  • The system checks rental dates before showing available cars. Once a booking is confirmed, the vehicle is blocked for that period to reduce double-booking risks.
  • Prices, vehicle details and pickup information are available directly on the platform. This reduces calls, messages and separate records.
  • Customer documents, payments and booking updates stay connected with the same reservation.
  • The Admin Dashboard brings vehicles, bookings, customers, locations and pricing into one system.

Vehicle Search and Booking

  • Search by location, rental dates, price, and vehicle type
  • View vehicle details and compare suitable options
  • See vehicles available for the selected dates
  • Select pickup and return locations
  • Confirm, modify, or cancel bookings

Development Process

We began by understanding how customers would search, book and pay for rental vehicles. We also looked at how the rental team would manage cars, branches, documents and reservations.

Technical Challenges

01

Preventing booking conflicts

Existing reservations were checked before showing or confirming a vehicle.

02

Managing branch-wise availability

Vehicles and bookings were linked with their assigned rental locations.

03

Handling different prices

Pricing rules were set by vehicle, branch, rental period and promotion.

04

Keeping booking stages clear

A fixed status flow was used for each stage of the rental process.

05

Linking documents and payments

Documents and payment records were saved with the related booking.

06

Keeping search results fast

Database queries, APIs and filters were optimised for faster results.

07

Managing data across screens

Redux kept search, customer and booking information consistent.

08

Protecting private areas

JWT authentication and role-based access protected accounts, pages and APIs.

09

Controlling AI-assisted features

Claude API handled guidance and summaries without affecting booking rules.

Changes in the Rental Process

  1. 01

Vehicle availability was checked through calls or manual records.

Customers can view available cars by selecting their location and rental dates.

  2. 02

Vehicle details and prices were shared separately.

Cars, prices and key features are shown in clear listings.

  3. 03

Booking information was stored in files or messages.

Reservations are managed through one organised system.

  4. 04

Customer documents were collected through different channels.

Required documents can be uploaded through the customer account.

  5. 05

Payments were tracked separately from bookings.

Payment records remain linked with the correct reservation.

  6. 06

    Confirmations required manual follow-ups.

Booking and payment updates are sent through the platform.

  7. 07

Branch records were difficult to manage together.

Vehicles, locations and reservations can be managed branch-wise.

  8. 08

Reports took time to prepare manually.

Booking, payment and vehicle-use reports are available through the Admin Dashboard.

  9. 09

Adding more vehicles or locations increased manual work.

The platform can support future vehicles, branches and users.

Results

For Customers

  1. 01Customers can search, compare and reserve vehicles online. They can also manage their documents, payments and booking details through their accounts.

For the Client

  1. 01The client gets a clearer view of bookings, vehicle use, customer demand and branch operations. The platform also provides better control over customer reservations and daily fleet activities.

Business Impact

After RentACar was introduced, the rental business became less dependent on manual work. Date-based availability checks helped prevent booking conflicts, while linked records made documents, payments and reservations easier to manage. The team could also see which cars were booked, available or assigned to a location. This gave the client better control over daily rental work and allowed the business to add more cars, locations and services without increasing manual work.

Lessons Learned

While building RentACar, we learned a few important things:

  1. 01

Availability rules should be planned before development

  2. 02

Vehicle availability should be checked before confirmation

  3. 03

Booking and payment records should remain connected

  4. 04

    Customer documents need controlled access

  5. 05

Branch permissions should be planned early

  6. 06

Mobile booking should work as smoothly as desktop

  7. 07

AI features should support users without controlling booking rules

  8. 08

The platform should remain easy to expand

Conclusion

RentACar provides an organised way to manage the complete vehicle rental process. It connects customer bookings with daily rental work and helps the team track each rental from booking to return. The platform can also support more vehicles, locations and services as the business expands.
